Whilst you can move directly to step 2, for larger complexes we recommend getting help. Obtain the services of a specialist firm that can audit your building/complex and determine the best way forward as well as a full scope of work.

QUOTES, QUOTES AND MORE QUOTES

Before you get yourself stressed out about the size of a project, the first thing you need to do is understand the size and the cost of the project. To do this make use of various contractors both large and small to quote on the complete project. If you have hired a firm to assist as advised in 1 above, get them to assist in adjudicating the quotes obtained and let them provide some recommendations on which contractor would best suit your needs from a pricing and expertise perspective.

MANAGE YOUR EXPECTATIONS AND THE EXPECTATIONS OF THE OWNERS

Present the findings and the quotes to all owners in an SGM. The scope of work and price may just scare you to death, but you will have to start somewhere and inviting your owners to a meeting to discuss the findings will ensure that nobody is surprised should the levy be raised significantly to fund the project.

DETERMINE YOUR PLAN OF ACTION

It works best if Trustees/Committee members determine some plans of action to present to the owners and allow the owners to determine the way forward. There are various options open to you. Raising the levy or introduce a special levy (or project levy), financing through specialist finance houses or breaking the project up into manageable portions. Each of these has their own positive and negative sides. The decision taken must be an informed decision, taking into account all the positives and negatives as well as the rights and obligations of the owners.

MANAGE THE OUTCOME

Make sure you are getting what you paid for. This is not always easy for those not specifically trained or who have a detailed understanding of maintenance projects, but it is imperative that Trustees ensure that the interests of the owners is placed first, and this entails making sure you get what you paid for.
